Job Overview:

 

Reporting to the President of Sonepar Ontario and also supporting other senior managers, this role provides high-level administrative support by conducting research, preparing reports and PowerPoint presentations, handling information requests and performing administrative functions such as preparing correspondence, managing calendars, travel arrangements, arranging conference calls and scheduling meetings.

 

Responsibilities

  • Managing Presidents schedule and organizing meetings, appointments, conference calls, and general day to day activities.
  • Processing confidential documents and other confidential correspondence, documents, spreadsheets for senior management and other staff.
  • Preparing monthly expense reports for President and other Senior Management; checking to determine accuracy of submissions, including signature.
  • Reviewing branch sales and vendor statistics and provide summary to President using Cognos, Power BI, Rubicon
  • Basic IT support – troubleshooting or assistance that doesn’t not necessarily warrant an IT work order.
  • Coordination of new hire set up including assignment of education courses on LMS, office equipment, business cards.
  • Management of data plans for cell phone, tablet, MiFi for division
  • Management, coordination, troubleshooting of phone system for Corporate offices and branch locations.
  • Creating, drafting, and preparing special or one-time reports, summaries, replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence etc., when required.
  • Preparing and circulating corporate, employee, and divisional announcements.
  • Arranging travel schedule and making reservations for selected Senior Managers.
  • Assisting in the coordination of special events and programs such as general meetings, Years of Service, holiday party, etc.
  • Other duties as assigned. 

 

Qualifications

  • 3-5 years of related experience.
  • High School Diploma required.
  • Post secondary diploma or certification in office administration an asset.
  • Strong Microsoft Office skills including PowerBi required.
