The HR Coordinator is responsible for assisting with facilitating all key HR finctions and programs for muliple business units,  in the associate life cycle.  This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance, and HRIS, Disability Management, human resources policies, procedures and programs support. 

 

Responsibilities:

 

Recruitment:

  • Work with management to assess recruitment needs and ensure proper approvals in place for entry level positions and to assist recruitment. 
  • Ensures corporate hiring practices and standards are adhered to. 
  • Post all positions internally and externally as per OpCo process.
  • Where requested, screen resumes and provide management with a short list of candidates.
  • Provide support to management in creation of offer letters and announcements.
  • Support Gescan hiring managers with social media recruitment initiatives, i.e., linking current opportunities.

 
Disability and Attendance Management:

  • Provide metrics on employee attendance.
  • Complete documentation for WCB claims, modified duties and accommodation plans. 
  • Liase with benefit providers and managers on return to work plans.
  • HR Technology/Social media/HR Information System. 
  • Act as support for ADP password resets and employee inquiries. 
  • Provide support to HR Directors as second level issue management for ADP and SonePeople.
  • Support Hiring Manager/HR Director navigate EmpowerID – new employee asset/consumables management and system.
  • Responsible for maintaining HR News and Announcement sections, and HR Spotlight as requested by HR Directors.
  • Primary support for report creation and distribution.
  • Troubleshoot 1st level issues with SonePeople issues.
  • Prepare new hire packages and issue in Docusign.
  • Maintain/update OpCo HR sharepoint sites.
  • HR support for Employer Branding initiatives.

 

Employee Relations/Labour Relations:

  • Acts as a first point of contact for all general Human Resources questions.
  • Support HR Directors with employee relations matters.
  • Provide support to the Human Resources Directors as required including special projects and assignments including but not limited to HR related training.
  • Maintain employee file. 

 

Administration:

  • Benefitls - Provide answers to employee questions regarding benefits.
  • Assist with coordination annual informational sessions.
  • Assist with coordination of bi-annual re-enrolment campaign.
  • Assist with any reporting needs.

 

Orientation & Training:

  • Manage and Schedule Orientation for new hires – ensure checklists are complete. 
  • Work with HR Directors/OpCo Trainers to ensure all new hires are receiving proper Orientation.
  • Work with management to create individual integration schedules for all new hires.
  • Provide support to management to ensure all new hires receive a probationary review.
  • Supporting HR and Complaince Training Initiatives.

 

Exit Interviews:

  • Conduct exit interviews with all non-management resignations.
  • Keep tracking sheet up to date and provide bi-monthly report on metrics.
     


Requirements:

  • College Diploma or partial completion of degree in Human Resources.
  • Understanding of HR governance, legislation and regulatory environment in order to identify issues and appropriately consult with managers and employees.
  • Demonstrated business acumen and consulting skills.
  • Detail oriented, self-motivated and resourceful.
  • Minimum of 1 year in HR admin or HR coordinator role.
  • Benefit administration experience an asset.
  • ADP Workforce Now and SuccessFactors experience an asset.
  • Advanced knowledge of Microsoft Office, including Excel (VLookup, Pivot Tables, etc.)
