We have a great opportunity for a Project Coordinator to join our growing team! The Project Coordinator is responsible for assisting the Quotation Coordinator and Sales Team during the quotations process and for the successful management of all orders generated by the quotations team.
Shift: Monday- Friday, 8 AM to 5 PM.
We’re looking for a coordinator who:
- Communicates with customers and supplies to gather information and pricing for job bids.
- Interact with customers via phone to sell products and services, to assist customers in their selections, and to provide priced and availability information.
- Maintain an accurate follow-up system for actively tracking promises made to customers and expediting deliveries to ensure that materials are delivered as scheduled.
- Maintain current knowledge of inventory, including appropriate substitutions.
- Develop and maintain appropriate manufacturer contacts.
- Exchange customer needs information in a timely fashion with Outside and Inside Sales Associates, Quotations Coordinator, Branch Manager, and Corporate Purchasing personnel.
- Develops product knowledge and understands product applications.
- Enter quotations into computer system and forward completed documents to customers.
- Enter, track , bill, and expedite direct and stock customer orders, backorders, and vendor purchase orders.
- Maintains responsibility for all aspects of job order management, including, but not limited to RGAs, defectives, direct invoicing/billing, customer complaints, expediting, and reconciliation of project.
- Processes direct material return information and requests vendor returns.
- Enter credit generated by vendor pricing adjustments, shipping adjustments, etc.
- Processes customer repair requests.
- Monitor job queues and take appropriate action to troubleshoot and resolve items.
- Prepare small quotes for customer projects and documents appropriately.
- Conduct customer follow-up on all quotations in an attempt to secure the order.
- Answer and manage incoming phone calls, including checking and responding to voice messages.
- Monitor and respond to electronic messaging (Outlook & operating system) in an appropriate and timely manner.
- Use appropriate forms of written communication both internally & externally.
- Maintain working knowledge of required software applications and utilize software for appropriate means of communication.
- Quickly finds common ground and solves problems for the good of all.
- Easily gain trust and support from others.
- Maintain an accurate follow-up system for actively tracking promises made to customers and expediting deliveries to ensure materials are delivered as scheduled.
- Provide customers with appropriate product and substation information to ensure customer is equipped with the knowledge needed to make an informed purchase.
- Resolve customer concerns.

- Develop product knowledge and understand product applications.
- Maintain current knowledge of products inventoried, including appropriate product substitutions.
- Develop and maintain appropriate manufacturer contacts.
- Negotiate special pricing contracts and accurate documents.
- Exchanges customer needs information in a timely fashion with Outside and Inside Sales Associates, Office Manager, Quotations Manager, Branch Manager and Corporate Purchasing staff.
- Supports other branches in their efforts to secure and facilitate customer orders.
- Attend product sales meetings to develop product knowledge.
- Performs other duties as instructed or required to successfully complete job.
What you bring:
- High school diploma or equivalent, with secondary or post-secondary coursework concentrated on sales/marketing, or equivalent on the job experience as determined by Echo Electric.
- At least two (2) years of electrical or distribution experience and/or product and application knowledge.
- Commitment to and demonstration of high ethical standards governing profession behavior and interactions.
- Strong customer service orientation.
- Strong mathematical and analytical skills.
- Demonstrated ability to communicate clearly in written and verbal formats.
- Demonstrated time management and organizational skills, including an ability to plan and manage multiple priorities simultaneously.
- Proven attentiveness to detail coupled with problem analysis and resolution skills.
- Proven proficiency in date entry and 10-key pad.
- Proven proficiency in general personal compute applications, as well as in the use of Microsoft Office software, including Word and Excel.
- Ability to work well in a team environment.
- Previous Counter or Inside Sales work experience preferred.
- Willingness to complete EDGE or EPEC within 18 month of starting job assignment.
- Ability to sit for prolonged periods of time.
- Ability to utilize a computer keyboard, computer monitor, adding machine, and telephone for prolonged periods of time.
- Ability to occasionally climb a ladder and step stool.
- Ability to lift, carry, and otherwise transport work-related materials that frequently weigh up to 25 lbs. and that may occasionally weigh in excess of 25 lbs.
