Position Scope:

Responsible for supervising and executing the administrative function in the office. To support and assist the Sales Managers and guide the administration team to ensure administration processes are followed and completed.

 

Key Responsibilities:

  • Provide general information about the organization and redirect inquires to the appropriate contact(s).
  • Provide administrative support and engage with the sales team (Sales Representatives, Customer Service Representatives and management).
  • Liaison with the Warehouse Managers.
  • Providing guidance, direction and monitoring the administration team to ensure the department is effectively working towards a common goal.
  • Review office supplies regularly to determine quantities that need to be replenished.
  • Administering and processing required documentation for returns i.e. credits, shipping and receiving etc.
  • Monitor and ensure all orders and tickets are accounted for on a weekly basis.
  • Monitoring and processing Invoices, Moneris Vault, RMA’s and Cash Sale Procedures.
  • Responsible for overseeing the administration team’s requests and approvals in ADP to ensure information coincides with payroll.
  • Assist with credits, debits, and freight claims.
  • Respond to customer service issues and complaints.
  • Create and maintain various spreadsheets for tracking and reporting purposes.
  • Assist with annual inventory preparation and process.
  • Oversee reel returns and collection of reels.
  • Assisting with RFQ packages, proposals to maintain bid deadlines.
  • Assist with composition of professional correspondence.
  • Analytical sales support of internal reporting, to assist various sales related information.
  • Mining market verticals.
  • Other duties as required.

 

Required Qualifications:

  • Three to five (3-5) years administration experience in a busy office environment.
  • Mandatory experience with managing direct reports.
  • High School Diploma required. Preferably post-secondary education with either a certificate, diploma or degree in Administration or Business Management.
  • Must be proficient with MS Office (Excel, Outlook, Word, Powerpoint).
  • Self-motivated with strong administrative and analytical skills.
  • Exceptional organizations skills with the ability to effectively multitask.
  • Effectively prioritizing tasks.
  • Optimizing time effectively.
  • Keenly pays attention to detail with high level of accuracy.
  • Ability to work with a team and independently.
  • Professional phone and email etiquette.
  • Strong verbal and written communication skill.
  • Willingness to learn new initiatives that support the department.
  • Document control would be a strong asset.
  • Effective organizational and time management skills.
  • Work effectively in a team environment.
  • Ability to work in a fast-paced work environment.
