This Shipping Administrator is responsible for preparing the packing slip, bill of lading (shipping envelope), daily shipping manifest after the picking ticket is being completed by the warehouse. Responsible to arrange carriers once the shipping documents are being completed to set up deliver dates and times. This position reports to the Morning shift Manager. 


Key Responsibilities:

  • Monitors traffic flow for all receiving trailers, shipping trailers, and all customer pickups and returns
  • Monitors Production for customer orders
  • Assist in resolving any discrepancies
  • Communicates with both external/internal customers
  • Capable of using a warehouse management system (Rubicon/WISL) to prepare accurate bills of lading for outbound freight.
  • Dispatches shippers to assist in the loading and offloading of returns and customer pickups
  • Ensure that all completed tickets are taken into the shipping office regularly for invoicing
  • Advises supervisor or manager of challenges (congestions, traffic area conditions, hazards, customer concerns etc.)
  • Answers all telephone calls in a courtesy manner, taking messages to direct to the appropriate individual in a timely manner.
  • Build strong relationships with customers to prioritize and manage the orders based on the changing business needs
  • Initiates, answers & documents inquiries when requested via email and/or fax.
  • Contacts couriers, and transportation companies for quotes and for ensuring shipments are scheduled on time for pickups
  • Identify Discrepancies on packing/picking lists & invoices and correct them
  • Minimal supervision with the expectation of working with team members within different departments
  • Performs other related duties as required.


Required Qualifications:

  • Moderate computer skills (Microsoft Outlook, Word, Excel) and math aptitude.
  • Good organization and communication skills.
  • Able to sit for an extended period.
  • Ability to multitask when managing different customer orders and documents
  • Effectively prioritize tasks.
  • Attention to detail when processing paperwork.
  • Previous warehouse experience is preferred but not required.
  • Can work in a team environment or independently.
  • Customer oriented.
  • Great problem-solving and analytical skills.
  • Forklift certification is preferred.
  • Other tasks assigned, as required.
