Responsibilities

Purpose

 

The DOT & Driver Safety Compliance Administrator is a detail‑oriented administrative role responsible for supporting and maintaining compliance with all applicable driver‑related DOT regulations and internal safety policies for a non‑CDL commercial vehicle fleet. This position supports local delivery operations utilizing vans, box trucks, and stake‑body flatbeds and plays a critical role in documentation accuracy, regulatory readiness, and ongoing driver safety oversight.

The role requires strong organization, disciplined follow‑up, and the ability to coordinate across operations, safety, and fleet stakeholders to ensure all driver qualification, reporting, and compliance requirements are consistently met.

 

 

Responsibilities

 

Driver Qualification & Compliance Documentation

  1. Maintain complete, accurate, and compliant Driver Qualification Files (DQFs) for all non‑CDL drivers, including required applications, motor vehicle records, training records, and certifications.
  2. Track and manage recurring compliance requirements such as MVR reviews, license status verification, and internal driver acknowledgements.
  3. Ensure documentation is current, audit‑ready, and aligned with company policy and applicable DOT regulations.

 

DVIR & Vehicle Safety Reporting

  1. Monitor, review, and respond to Driver Vehicle Inspection Reports (DVIRs).
  2. Coordinate with fleet maintenance and operations teams to ensure vehicle defects or safety concerns are documented, corrected, and properly closed.
  3. Maintain records demonstrating corrective actions and resolution timelines.

 

Driver Onboarding & Training Support

  1. Support the driver onboarding process by collecting, reviewing, and organizing all required driver safety and compliance documentation.
  2. Track completion of required training, certifications, and periodic refresher requirements.
  3. Assist with distributing safety communications, policy updates, and procedural acknowledgements.

 

Safety Incidents, Audits & Corrective Actions

  1. Track and document safety incidents, near misses, and internal investigations involving drivers or company vehicles.
  2. Maintain records of corrective actions, retraining, and follow‑up activities.
  3. Support internal and external safety audits by preparing documentation, responding to data requests, and tracking findings to closure.

 

Cross‑Functional Coordination

  1. Act as a central point of coordination between Operations, Safety, HR, and Fleet teams related to driver compliance matters.
  2. Communicate compliance gaps, upcoming expirations, or documentation issues in a timely and professional manner.

 

Systems & Administrative Support

  1. Maintain driver and vehicle records within fleet and safety systems such as Fleetio, Lytx Dashcams, and Safety Culture (training provided).
  2. Generate basic reports, trackers, and compliance summaries using Microsoft Excel and Word.
  3. Process, approve, code, and track fleet‑related invoices, ensuring proper documentation and alignment with budget and internal controls.

Functional Competencies:

 

  • High school diploma or equivalent required; associate’s degree or higher preferred.
  • Prior experience in DOT compliance, fleet administration, safety coordination, or logistics support is preferred but not required.
  • Working knowledge of DOT regulations related to non‑CDL commercial drivers and light‑/medium‑duty fleets is a strong plus.
  • Experience supporting multi‑location or distribution‑based operations is beneficial.

 

Education / Level of Experience

 

  • 5+ or more years of management experience preferred in addition to a strong business acumen in distribution supply chain processes.   
  • Bachelor’s degree or equivalent experience in the field of quality management.
  • Lean Six Sigma Management or 5s certified, preferred.

General Requirements

& Abilities

  • Must have valid driver’s license.
  • Ability to travel up to 25% of the time.
  • Willingness to work additional hours to meet deadlines.
  • Able to lift to 50 pounds, unassisted.

 

Work Environment

& Abilities

  • Working conditions are normal for an office environment, will work in an operations environment at times as well as significant travel by automobile.
  • Travel/Remote locations.
  • Periodic exposure to warehouse and logistics operations (non-climate control).
