Scope of the Position:

 

The Branch Operations Coordinator ensures operational excellence in customer service and safety by coordinating branch operations, supporting and mentoring associates to deliver superior customer service, and adhering to high safety standards. This role involves reviewing all operational functions and ensuring that business processes, work instructions, and OH&S procedures are investigated, developed, scheduled, measured, and posted. The position also contributes to establishing and maintaining the branch's goals and objectives and may include overlapping responsibilities with other positions within the branch.

 

Major Responsibilities:

 

  • Influence teamwork to achieve optimum efficiency and branch goals.
  • Identify solutions to issues that may affect the service, efficiency, and productivity of the branch.
  • Provide support for all roles, including inside and counter sales positions and warehouse functions.
  • Ensure continuous improvement in administrative task performance, including regular and timely task completion, correctly and accurately.
  • Process customer returns and credits.
  • Handle vendor returns (paperwork processing), defectives, freight claims, and yearly returns.
  • Track and resolve customer shipping errors.
  • File all paperwork.
  • Manage the Branch Occupational Health and Safety Program, ensuring implementation and compliance by staff and customers.
  • Manage monthly OH&S meetings, keep the OH&S board up to date, and post minutes.
  • Ensure certifications, including health and safety and forklift, are kept up to date.
  • Train associates on all system and branch operation tasks, approved branch processes, policies, and procedures, as well as customer service and product knowledge standards.
  • Mentor all branch staff on system and branch operations tasks, striving for operational excellence.
  • Manage inventory, including cycle counting, ensuring accuracy, and tracking inventory loss.
  • Ensure the branch is kept clean, products are organized and well merchandised, and displays are maintained and up to date.
  • Ensure warehouse and office equipment is regularly maintained, and any equipment and shelving/racking damage is promptly addressed.
  • Perform other duties as assigned.

 

Education & Training

 

  • High school diploma required
  • College/University diploma/degree (business, sales or marketing) an asset
  • Formalized Occupational Health & Safety training
  • Working knowledge of Microsoft Word, Excel, Outlook; WISL freight system, SX system preferred

 

Experience

 

 

  • 2-3 years recent, related experience
  • Previous experience in administration, Customer Service, Operation and Health and Safety Support.
