Scope of Position:

The Contract and Project Administrator is responsible for evaluating customer’s contract terms and conditions. Analyze potential risks involved and coordinate with the legal department if necessary. 

In addition, order management supporting and assisting with quotation, quote packages, orders, and account maintenance.


Major Responsibilities

 

  • Facilitate contract life cycle management from negotiation to completion
  • Review and provide guidance in the preparation of contracts, agreements, amendments, and change orders
  • Identify and analyze the potential risks posed by a contract
  • Liaise with the senior management team to ensure alignment
  • Draft responses related to the contract compliant with the company’s legal guidelines
  • Submit proposals and supporting documents in customer quoting portals
  • Provide administrative assistance to Sales Representatives and ensure all documentation is properly executed and deadlines are met
  • Maintain project documentation
  • Collaborate with Sales Representatives to make sure project goals are met
  • Manage contract milestone activities, and close-out activities
  • Act as a liaison and coordinator amongst key stakeholders
  • Organize and maintain contract related hard copies and digital records
  • Order entry and management
  • Analysis of costing and selling spreadsheets
  • Track order to ensure delivery times are met
  • Other duties and projects as assigned
  • Collaborating with branches and/or departments to support project sales

 

Requirements: 

  • Bachelor's Degree in Business preferred 
  • An extremely high professional approach to business 
  • Excellent communication skills (oral & written) 
  • Well organized and extremely detail oriented 
  • Works well with tight deadlines 
  • Knowledge and experience working with large, long term projects and customers 
  • Experience reading and understanding sales contracts such as terms & conditions
  • Minimum of sales/customer service 5+ years’ experience, preferably from industrial or commercial electrical market 
  • Advanced Excel skills and strong understanding of ERP system
  • Advanced knowledge of Word, Outlook, PowerPoint, SharePoint
