The Quotations Coordinator serves as the primary liaison between the contractor/Outside Sales Representative (OSR) and the Quotations Specialist. This role is responsible for managing the bid inbox, coordinating the setup of new projects, and assigning project responsibilities to the appropriate Quotations Specialist to ensure timely and accurate responses.

Key Accountabilities: 

Administrative: 

• Manage and monitor the bid inbox to ensure timely response to incoming requests.
• Review project documentation to identify key details such as project name, architect/engineer, and location, typically found in the title block of the drawings.
• Extract and organize customer-provided materials to create a comprehensive project file in Teams, including:
  • Bill of Materials (BOM)
  • Fixture schedule
  • Full set of drawings
  • Specifications (if available)
  • Original email request
• Evaluate the bid board to determine appropriate assignment of projects based on current workload and capacity of Quotations Specialists.
• Set up projects in Job Management by:
  • Adding all relevant customer information
  • Entering individual fixture counts
  • Recording the requested bid date
  • Attaching the Teams project link
  • Assigning the project to the designated Quotations Specialist
• Distribute the daily bid list to ensure visibility and alignment across the team.

Education and/or Experience: 

• High School or GED or
• Relevant certifications or license or  
• 1-2 years in electrical distribution, project coordination, or estimating

Requirements:

• Ability to manage and synthesize information from multiple sources and systems.
• Effectively handle internal and external requests with professionalism.
• Identify and resolve issues efficiently using analytical skills.
• Ability to calculate gross margins and analyze pricing data.
• Strong written and verbal communication skills.
• Ensure accuracy in quotations and documentation.
