Sales Tax Specialist – Job Description and Duties

 

The Sales Tax Specialist is responsible to provide Excellent customer service, work with the credit team and all Capital associates supporting company goals.  An upbeat, “can do” attitude is important.  Additional tasks include gathering documentation for various aspects of job duties, recordkeeping, being organized and having a good follow-up routine.  A list of duties follows.

 

List of Duties:

 

  1. Manage all customer sales tax issues in thirty-two states (ten predominantly)
  2. Download open sales tax report weekly
  3. Validate sales tax exemption certificates provided by customers   
  4. Research sales tax regulations using:       
    1. Avalara Tax Research tool
    2. State Department of Revenue website
    3. Call State DOR
    4. Work with George Vetter @ Sonepar Tax Director
  5. Provide supporting state regulation to customer when exemption is denied
  6. Verify exemption provided is valid for sales tax write off
    1. Form is properly completed, signed, and dated
    2. Verify exemption claimed
    3. Spot check to verify material claimed as exempt is in fact exempt (Ex. Manufacturing & VA Datacenters)
  7. Request job name from customer via GP when not noted on invoice, requesting sales tax exemption certificate
  8. View invoices for tools and/or consumable items on each contractor invoice
    1. Verify state tax billed, verses state exemption provided
    2. Be aware of partial exemption provided by some states
  9. Update status code in GP
    1. CRTX when valid on full tax balances, enter job name in note
    2. TXDA when tax balance is deemed as owed.
  10. Invoices billed tax, but the job is exempt; Calculate portion of sales tax related to tools that must be paid, validate certificate and email Cash application the portion that needs to be written off; Hundreds of invoices per month (very time intensive)
  11. Note job name/number in Maintenance, this is for future short pays and to know what certificate a job number uses
  12. Respond to emails about sales tax issues for both internal and external customers
  13. Support Digital team (a few times per week; expect this to increase)
    1. Add sales tax exemption to online orders (happens in real-time)
    2. Issue credit/rebill when invoice has processed with sales tax
    3. Issue credit back to credit card if tax was collected
  14. Support Area Operations team with sales tax exemption and questions
  15. Email help desk on Billing / Statements / Eclipse ERP sales tax issues
  16. Add sales tax exemption to the account & attach certificate or place in Outlook folder to be attached
  17. Email product team if tool item is missing tax tool flag (contractor accounts affected)
  18. Help with Bad Debt, adding sales tax jurisdiction on recoveries when taking unapplied $
  19. Audit Branch cash sales, looking for attached certificate and validity of certificate allowed
    1. Currently not being done; Risk item 
  20. Audit customer accounts set up with a sales tax exemption
    1. Currently not being done; Risk item
  21. Provide education to our Team leaders when requested by the Operations Team
  22. Help educate our counter associates on rules when accepting an exemption at the counter; Varies by state; Ongoing with new associates
    1. Needs to be audited, but not being done; Risk item
  23. Cash Apps expert with account reconciliation and ledger questions
  24. Solar requirements; a lot of work, confusion, communication
  25. Issue sales tax refund upon customer requests    
  1. Receive spreadsheet from customer with list of invoices they are seeking a tax refund on
  2. Verify statute of limitation for the state involved
  3. View invoices to verify tax was paid; the state tax billing: verify material qualifies (tools, consumables)
  4. Send email to David Webber if refund is over 10K
  5. Issue credit invoice to account   

 

Skills/ experience required to be successful

 

  • Excellent Customer service
  • Good communication skills both written & verbal
  • Good organizational and follow-up skills
  • Attention to details; recordkeeping; Noting activity
  • Working knowledge of Excel and Word

 

Salary: $17 - 23 / hour
